General Information
MEMORY REQUIREMENTS
In order for all of the features of DJMate to work correctly, your
computer must have at least 384k free. If you do not have that much
memory available, some of the features of DJMate may not work (i.e.
notepad) or it may not work at all. If you have expanded memory
available, DJMate will use it for the overlay file. Also, a hard disk
is required with at least one megabyte free.
CONTACTING DEVELOPER/TECHNICAL SUPPORT

Use of this program indicates that you have accepted the terms of this
agreement.
1
Installation
In order to use DJMate, you must first run the installation program.
The installation program will copy and make the appropriate files on
your disk as well as making a configuration file which contains the
necessary information to run DJMate.
To run the installation program, first put your DJMate disk in your
floppy drive and type INSTALL (make sure the active drive is the floppy
drive).
Step 1: Choose the drive that you are installing from (the drive the
DJMate disk is in). DJMate will automatically pick the current default
path. If the DJMate disk is in a different drive, erase the current
line and type in the correct drive and path.
Step 2: You will be asked to input the path where the DJMate master
files should be copied to. This will be the program path. This will
be where you will be running DJMate from. A default path will already
be shown. If you wish to change it, put the drive letter and the path
(ex. c:\files\dj or e:\dj). Make sure that you do not leave out the
drive letter and colon. If you leave these out, the directories may be
improperly created. If these directories do not exist, they will
automatically be created. Note that you cannot install DJMate to the
same directory that the master files are in.
Step 3: You will be asked for the printer port. The choices are LPT1:,
LPT2:, COM1:, COM2: and No Printer. If you do not have a printer then
select No Printer otherwise select the appropriate port.
If you select No Printer, then you will only be able to print to a
file.
Step 4: The next question is how many lines per page your printer is.
Enter a number from 1 to 99 lines. The default is 54.
That's it. DJMate will now be installed. The necessary files will be
2
created or copied from the main disk to your destination path. After
this, a message confirming the success of the installation will be
shown and you will be returned to the DOS prompt. If there were any
errors, they will be shown. Refer to Appendix A for error
messages/solutions.
When the installation is complete, you will automatically be put in
your DJMate directory. Type in DJ. You will then be brought to the
title screen. Hit ENTER for the main menu.
Overlays
DJMate uses overlays in order to require the least amount of system
memory possible. The overlay file keeps portions of the program on
disk until that part of the program is needed, and then it is loaded
into memory. If you have enough EXPANDED memory, then the entire
overlay file (containing all of the overlays) will automatically be
loaded into it and instead of loading an overlay from disk when it is
needed, it will be retrieved from the expanded memory which results in
faster performance.
Start Up
To start DJMate, type dj. Hit a key to start the session.
General Notes
You will see many references to the online screen. This is the screen
that you will see before any report is sent to your printer. This
screen shows the current status of the printer. There are five codes
that can be returned.
Printing - The data is being printed.
Out of Paper - The printer is out of paper.
Printer Offline - The printer is either off or offline.
Printer Busy - The printer is printing something else. The
program will wait its turn to print.
Unknown Problem - Something else is wrong with your printer.
If an error occurs (with the exception of Printer Busy), you can abort
printing by typing A and hit return; otherwise reset the printer paper
3
to the top of the page and type C and then hit return to print.
This screen also allows you to choose how many copies of a report you
would like to print, if the header is to be printed, and whether the
report is to be printed to a file.
If you hit [ALT-F], you will be prompted for a file name. DJMate will
check to see if that file exists. If it does, you will be asked to
confirm whether you want the file to be overwritten or not. Hit Y to
overwrite the file or N to select another file name.
If you hit [ALT-C], then you will prompted to enter the number of
copies that you want printed. Enter a number from 1 to 99.
The printer status screen shows the current copy that DJMATE is
printing as well as how many copies were requested.
Hitting [ALT-H] will toggle between whether the header is to be printed
or not. This is valid for Contracts and Estimates.
If you selected NO PRINTER in the installation program, a message will
appear on the top of the screen notifying you that you can only print
to a file. When you hit a key, you will be prompted for a file name.
A clock will be shown at the top of your main menu screen.
The calculator can be brought up at anytime by hitting [ALT-Z].
Song Inventory
The top of the screen will show the active database. Included in
DJMate is a beats-per-minute generator and a stopwatch. To
activate the beats-per-minute generator, hit [ALT-B]. The BPM
generator will ask you to tap a key thirty times figure out the
beats-per-minute. To activate the stopwatch, hit [ALT-S].
Add Song to Database: This option allows you to add a song to your
database. You can enter the following information for each song:
4
title, artist, second artist, writer, genre, sub-genre, year,
length, beats per minute, up to five types (album, cd, etc.),
number of copies for each type, album name, location and comments.
Hit [F10] to save or [ESC] to abort.
Search for Song
This option allows for you to search for a song. You can search
by Title, Artist, Album, Comments or go to the Top of the Database
(this will start with record number one and cycle through all of
the records). If you select Top of Database, you will be able to
look at the current database only. If you are performing a
search, select the search field. Next, enter in the information
that you want to search for (note that you can enter up to three
search criteria). After that, you will be asked whether you want
to search (1) All Song Databases or (2) ONLY the current database.
After you make your selection, the search will commence. If a
match is found, the record will be retrieved. If you selected to
search ALL SONG DATABASES, you will be shown what database the
song is in. After you make the desired changes, hit [F10] to
update the record. To recommence for any other matching records,
hit [ALT-F]. To go to a particular record, hit [ALT-G]. To stop
the search, hit [ESC].
Notes: When searching for records, the only way to move between
records is with [ALT-F]. If you selected top of database, then
you can use the [Page Up/Down] and [Alt-G] keys to move between
records. This applies only if your database is indexed.
Print Song Inventory
This option allows you to print records in the song inventory
database. Similar to the search option, you can choose records
that are to be printed by title, artist, album, comments or choose
5
#1 for all records. After you choose your selection and enter the
appropriate information (if you chose numbers 2-5), you will be
asked whether you want to search (1) All Song Databases or (2)
ONLY the current database. After you make your selection, the
online screen will appear.
Change Active Database
This allows you to change the active database. A list will
appear, and you can use the cursor to move to the desired
database. Hit [ENTER] on the desired database. To keep the same
database, move to [ESC].
Modify Database List
This allows you to activate or deactivate databases.
To activate a database, select 1 and enter the name of the
database. It must be a different name than other databases, and
it must contain ONLY letters or numbers. No spaces, periods,
commas or other special characters allowed. After you type in a
valid name, a new database will created. If the database already
existed (you deactivated it -- see below), a message will inform
you of that, and the database will be reactivated.
To deactivate a database, select 2 and choose the database that
you wish to deactivate. You then have to confirm that you wish to
deactivate the database. After confirming, the database will be
removed from the list. The database will NOT be removed from your
hard drive, it will only be deactivated. Only the index files (if
you are using an index) will be deleted. Unless you manually
delete the database from your hard drive, you can reactivate it by
activating it (see above). To manually delete the file from your
drive, delete [filename].dat. For example, if you deactivated
set1 from your database list, it will not be removed from your
6
hard drive. To permanently remove it, change into your DJMate
directory and type del set1.dat.
Change Sorting Criteria
When you select this option, a menu will appear. You can change
the sorting criteria and undo changes. Changing the sorting
criteria will allow you to select a primary key and a secondary
key. The database(s) are sorted by the primary key first and then
by the secondary key (i.e. If you chose the title as the primary
key and the artist as the secondary key then Title: Faithless,
Artist: ABC would come before Title: Faithless, Artist: XYZ). The
second option is undo changes. When you select this option, the
sorting criteria will return to its original state. In the upper
left corner of the screen will be shown the following: Primary
Sorting Key, Secondary Sorting Key and whether the Sorting Keys
Changed. If the database is not sorted, a "Database Not Sorted"
message will appear beside all three items. When "Sorting Keys
Changes?" says YES, then the database(s) will be resorted when you
exit.
Modify Media Types/Duplicate Check: This allows you to change the
media types for the song database and select whether you want
duplicates to be checked for when adding songs. For media types,
you can enter up to 15 different media types. You can select
whether you want DJMate to search the database for duplicates
before the record is added. If a duplicate is found, a message
will appear saying that a duplicate has been found, and it will
tell you the record number of the duplicate record. You will then
be prompted to hit [ESC] to Not Add the Record or to hit any other
key to continue searching. If you hit [ESC], then the record will
not be added. If you hit any other key, then it will search for
7
any other duplicates. If no other duplicates are found then the
record will be added. When you have DJMate check for duplicates,
adding (or changing the name of) a record takes longer because the
entire active database is searched for a match. When searching
for a match, the song's title and artist are checked so if two
different people sang the same song, it won't be flagged as a
duplicate.
Inventory Database
This database tracks all of your inventory. The inventory is
indexed by the item name.
Add Item to Database
This allows you to enter items into your inventory database.
There are fields for name, quantity, reorder point, number per
case, case price, price per dozen, price each and comments. When
the quantity falls below the reorder point, DJMate will notify
you. When you enter in the case quantity and one of the prices,
the other two prices will be automatically calculated. To turn
the auto-calculate off for the current item, hit [ALT-C]. You
will be shown at the bottom of the screen whether auto-calculate
is on or off. To erase all of the prices, hit [ALT-P].
Search for Item
This option allows for you to search for an item. You can search
by Name or Comment, and you can also choose Top of Database to
start at record number one. Select the search field. Next, enter
in the information that you want to search for. If a match is
found, it will appear on the screen. You can enter information
and hit [F10] to update record, [ESC] to abort to the menu. You
can also go to other records by hitting [Page Up/Page Down] for
the previous/next record, [ALT-G] to go to a particular item
8
number or [ALT-F] to continue searching for more matches.
Print Inventory
This option allows you to print records in the inventory database.
Similar to the search option, you can choose records that are to
be printed by title, comments or choose #1 for all records. After
you choose your selection and enter the appropriate information
(if you chose numbers 2 or 3), the online screen will appear.
Check Reorder Points
This option will check all of the items in the inventory database
to see if any item has a quantity number less than the reorder
point number.
You will first be asked if the report should go to the printer.
Choose Y for printer or [ENTER] for screen. After that, the
report will be displayed or printed.
Duplicate Check: You can select whether you want DJMate to search
the database for duplicates before the record is added. If a
duplicate is found, a message will appear saying that a duplicate
has been found, and it will tell you the record number of the
duplicate record. You will then be prompted to hit [ESC] to Not
Add the Record or to hit any other key to continue searching. If
you hit [ESC], then the record will not be added. If you hit any
other key, then it will search for any other duplicates. If no
other duplicates are found then the record will be added. When
you have DJMate check for duplicates, adding (or changing the name
of) an item takes longer because the entire database is searched
for a match.
Rolodex
This option brings up the rolodex database. The database is
indexed by last name, first name.
9
Add Record to Rolodex
This allows you to enter items into your rolodex database. There
are fields for first and last name, address (two lines), city,
state, zip code, home and work phone, up to five categories,
whether the person was contacted, date contacted and comments (two
lines). The contacted and date contacted fields are used for the
lead time check.
Search for Record
This option allows for you to search for a record. You can search
by Last or First Name, Category or Comment, and you can also
choose Top of Database to start at record number one. Select the
search field. Next, enter in the information that you want to
search for. If a match is found, it will appear on the screen.
You can enter information and hit [F10] to update record, [ESC] to
abort to the menu. You can also go to other records by hitting
[Page Up/Page Down] for the previous/next record, [ALT-G] to go to
a particular item number or [ALT-F] to continue searching for more
matches.
Print Records
This will print the records in your database. You can choose to
print all records or select records. Once you choose the records
that you wish to print, you will be taken to the printer status
screen.
Mail Merge
This allows you to perform a mail merge. A mail merge allows you
to easily send a letter to people in your database. Above the
menu will be shown which records are selected and whether the
header is on or off. Option 1 will let you type the letter that
is to be merged. Option 2 allows you to select the records that
10
you want to be merged into the letter. You can select by Last or
First Name, Category or Comment, and you can also choose all
records. Option 3 will turn the header (return address) on and
off. Option 4 will print the letters. You will be prompted for
the name of the file to be printed. After entering in the
filename, the printer status screen will appear.
Print Labels
This option will allow you to print labels for the people in your
database. Option one allows you to select the records that you
want to have labels printed for. You can select by Last or First
Name, Category or Comment, and you can also choose all records.
Option number two allows you to configure your label setup. You
can configure: 1) Number of Spaces Across, 2) Number of Lines
Down, 3) Number of Lines per Labels (size) and 4) Number of Labels
Per Page. If you enter in a number other than 0 for labels per
page, then after the specified number of labels have been printed,
a form feed will occur. This will most likely be used for people
with laser printers. Option #2 (number of lines down) will
linefeed the specified number of lines down at the beginning of
the printout and after each form feed.
Lead Check
This option will check for contacting your clients that filled out
estimates and clients in the rolodex database. Enter in the
number of days you wish to check for (the default will be
displayed). If a person hasn't been contacted after the number of
days that you type in, their name, phone number and date the
person was last contacted will be listed on the screen. You can
choose for the report to go to your printer if you desire.
Edit Categories
11
This option will bring up the categories list. You can have up to
fifteen categories.
When
you have DJMate check for duplicates, adding (or changing the name
of) an entry takes longer because the entire database is searched
for a match.
Package Database
This option contains the package database. The package database
links with the contract database.
Add Package to Database
You can enter in a package code, cost, up to fifteen inventory
items and the quantity of each one and comments. When you are on
the inventory item number, you can hit [ALT-S] to search the
inventory database. This will allow you to enter the name
(partial ok) of the inventory item and a list will appear with all
of the items that match.
Search for Package
You can search for records by Package Code, Inventory Item Record
Number, Comment, and you can also choose top of database. You can
hit [F1] for help.
Print Package Records
12
You can select record to print by Package Code, Inventory Record
Number, Comment, and you can also choose all records.
Contracts
This option contains contract information.
Prepare Contract
This brings up a blank contract form. You can enter in the
information in the spaces provided. Note that today's date is
automatically filled in with the current system date (it can be
changed if you desire). The total, sales tax, grand total and
balance are automatically computed. You can hit [ALT-S] to toggle
between computing sales tax or setting sales tax to $0. Also, for
any of the fields that require dollar amounts, you can enter in a
word such as "free".
The Contract Database links with the Package Database through the
party passouts field. When you are on the Party Passouts field,
you can enter in a package name (defined in the package database)
and hit [ALT-P]. This will bring up a list of all of the matches
in the package database. Select the desired package and the price
will be entered automatically in the party passouts field. If
there are no matches, a message will appear informing you of that.
Also, to bring up a list of all of the packages, leave the field
blank and hit [ALT-P].
Hit [ALT-O] for other contractual information. The other
contractual information consists of contract type, disc jockey
number one and two, four lines for miscellaneous information and
your cost. When on the contract type field, you can hit [F2] to
list all of your defined contract types.
Hitting [PAGE DOWN] will bring you to the Special Requests screen.
You can enter up to seven special requests. To perform a search,
13
enter a title or artist (partial is okay) and hit [ALT-S]. Once
you hit [ALT-S], you then choose whether to search for artist or
title. Select the appropriate choice and if there are any records
that match, they will appear in a selection box with the song
database, song title and artist. When you select your desired
song, the media types will appear and after you select the desired
media type, the location will automatically be filled in. Note
that there will be a maximum of 75 records listed at a time. If
the record you are looking for is not on the list, and there are
more records to search, choose "Search For More" from the bottom
of the list to continue searching records.
To print a contract, hit [F5]. You can then choose what
information you wish to print. You can print the contract,
special requests and other information. You will then be brought
to the online screen. Note that after the contract is printed,
the terms and conditions will be printed. The terms and
conditions are contained in the files called "terms.dat". If this
file is not present, the terms and conditions header will not be
printed.
When you save a contract, the contract is placed automatically in
your calendar. The information put in your calendar are: contract
number, time from, time to, the first line of customer
name/address (1), occasion and where the occasion will be held.
Search for Contract
This allows you to search for contracts. You can search by
contract number, customer name, DJ name, date, month/year, or
cycle through the contracts. If you select date or month/year,
you will be asked whether you wish to search by contract date
(month/year) or affair date (month/year). Select the search field.
14
Next, enter in the information that you want to search for. After
you make your selection, the search will commence. Up to four
matches will be listed per screen. If the contract you desire is
listed, type Y. Then enter the contract number. If you enter N,
the search will continue. Note that only the first customer's
name will be shown in the synopsis even if you searched using the
second customer's name (and it was found). After you make the
desired changes, hit [F10] to update the record. To stop the
search, hit [ESC]. Note that the sales tax will be the sales tax
that was in effect when you made the contract, even if you put in
a new one (in the Utilities Section).
Modify Terms & Conditions
This will load your terms and conditions file into the word
processor.
Modify Types List
This will allow you to modify the types list (which you enter in
the Other Information section of the contract). You can enter the
Type Code and the Type Code Description (for example, you could
enter WE for type code and Wedding for type code description).
You can have up to forty entries.
Contract Information
This option provides a range of contractual information. The
first option is Sum Certain Type. Enter 0 to sum all types or
enter the type that you wish to sum. This report will show the
total number of that type of contract, the total cost to you and
the total gross income. The second option is Average/Total
Categories. Enter 0 for all types of contracts. This report will
show the total number of contracts and the average and total of
each of the following: package price, dancers, passouts, lights,
15
gross total and cost to you.
Estimates
This brings up the estimate database.
Prepare Estimate
This brings up a blank estimate form. You can enter a customer's
name, phone number, today's date, affair type and affair date.
You can also enter in whether the customer was contacted or not.
Note that today's date is automatically filled in with the current
system date (it can be changed if you desire). You can enter in
up to thirty items and their prices. If the item is on the
estimate list, hit [F2] to bring up the list. The total is
automatically computed. Note that for any estimate item cost, you
can enter in a word such as "free". Hit [F5] to print the
estimate.
Search for Estimate
This allows you to search for estimates. You can search by
estimate number, customer name, date, month/year or cycle through
the estimates. If you select date or month/year, you will be
asked whether you wish to search by estimate date (month/year) or
affair date (month/year). Select the search field. Next, enter in
the information that you want to search for. After you make your
selection, the search will commence. Up to four matches will be
listed per screen. If the estimate you desire is listed, type Y.
Then enter the estimate number. If you enter N, the search will
continue. After you make the desired changes, hit [F10] to update
the record. To stop the search, hit [ESC].
Modify Estimate List
This brings up the default estimate list. It can hold up to 40
items and their costs. When you are done, hit [F10] to save the
16
updated list or [ESC] to abort to the estimate menu.
Text Editor
When you choose this option, you will be prompted for the file
name that you wish to edit. Enter in the name and hit [RETURN].
If the file is present, it will be loaded into the word processor,
otherwise a new file will be created.
The word processor was not built into this program but is a
separate file. It is called TED and is copyrighted (c) by Ziff
Communications. TED is a Bannerware program (free distribution,
but still copyrighted by the author), but has many useful
functions built into a very small program. If another text editor
is desired, then the main file has to be renamed to TED and put in
the DJMate program directory. If it doesn't take up a large
amount of memory it should work fine. Don't forget to rename it
to TED. Briefly, here are the options available.
F1 : Abort will return you to the main menu without saving any
changed information.
F2 : This will undo information just changed.
F3 : Print will send marked text to the printer.
F4 : Mark will highlight desired text. This option is used to
Cut and Paste and for printing.
F5 : Cut will cut (remove) marked text and store it in memory.
17
F6 : Paste will take the text that was cut (now in memory) and
put it where the cursor is located.
F7 : Exit allows you to save the note pad. After hitting
F7, simply hit return. The note pad will be saved and
the program will return to the main menu.
F8 : This option will delete everything to the right of the
cursor.
F9 : This option will delete the line the cursor is on.
F10: This will undelete a line that was just deleted.
Notes: You can put in your own text editor (such as edit.com that
came with DOS) by doing the following (this is assuming that you
are copying edit.com from your C:\DOS directory): 1) copy
C:\DOS\EDIT.COM into your DJMate directory (this would be C:\DJ if
you used the default); 2) change to your DJMate directory; 3) type
del ted.com; 4)type ren edit.com ted.com. You can also try other
text editors or word processors however the editor must save to
the ASCII format if you want to be able to use the file that you
created in a mail merge. Also, the editors that you can use
depends on your available memory. While you should have no
problem using edit.com, you may have a problem with large, more
sophisticated text editors/word processors. You can always copy
TED.COM from the program diskette if you have any problems.
Calendar
This option brings up the DJMate Calendar. The Calendar screen
consists of three areas. The first area in the upper left corner
is the calendar. If you have an event on a particular day, it
will be highlighted. The second box on the right side is the view
box. The view box shows the first line of all of the scheduled
events for the highlighted day. If you have more than twelve
entries on a particular day, an arrow will appear in the bottom
right corner of the box. As you move down, the list will scroll
18
so that you can see all of the entries. As the top entries scroll
off the screen, an up arrow will appear in the upper right corner.
The third box located in the lower part of the screen is the data
box. The data box shows the complete entries. You can bring up
the help box by hitting [F1] while the calendar is active. While
in the calendar, you can navigate through the days using the
cursor keys. To change months, use the [CTRL-LEFT] and [CTRL-
RIGHT] arrow keys. To change years, use the [CTRL-UP] and [CTRL-
DOWN] arrow keys. You can move to the view box by hitting [ALT-M]
for modify. Select the appropriate entry that you wish to view
(or modify) using the up and down arrow keys, and then hit Enter
on the desired entry. It will bring up the entry in the data box.
To enter a new entry, hit move the cursor to the desired day and
hit [ALT-E].
To delete an entry, hit [ALT-D]. A menu will come up. Choose
whether you wish to delete one entry or a range of entries. If
you select one entry, then you can move the cursor to the desired
entry and hit [Enter]. If you choose to delete a range of
entries, you will be prompted to enter a beginning date and an
ending date. For example, if you wanted to delete all entries
from the year 1992, you would enter 01/01/92 for the beginning
date and 12/31/92 for the ending date. After confirming that you
wish to delete the records, they will be deleted.
To print the calendar, hit [ALT-P]. This will bring up a menu
allowing you to choose whether you want print an overview of the
calendar or complete entries. If you select overview, it will
print the date, time and the first line of an entry. If you
select complete entries, then it will print all of the entry's
information (all four lines). Next, you will be asked to select
19
the range of dates to be printed. To print all entries, type all
in the first box. To select a range, type in a beginning date and
an ending date.
Notes: When you delete a calendar entry, it will be permanently
erased; you will not be able to undelete it. There is a maximum
of 100 entries for any given day.
Utilities
Custom Program List
This a menu program that allows you to run other programs without
exiting DJMate. While on this menu, you can hit [F10] for the dos
prompt or [ESC] to escape back to the Utilities menu.
The menu contains nine spaces for programs. To run a program, hit
the number assigned to that program.
To enter or modify an entry, hit [ALT-A]. You will be prompted to
enter the number of the entry that you wish to use. Next, the
entry box will appear. It will be either blank (if it is
currently empty) or have the information for the program that's
already entered. There are four fields for each entry. They are
program name, path, filename and parameters. Enter in the
information. While you are on the path or filename field, you can
hit [F2] to browse your directories/files and select the desired
file. Hit [F10] when you finish filling in the information.
To erase an entry, hit [ALT-E] and select the number of the entry
that you wish to erase. Confirm the deletion by hitting Y.
Notes: Because the custom menu program is within DJMate, you may
not have a very large amount of memory available to run your other
programs, therefore you probably won't be able to run all of your
programs from here.
Modify Defaults
20
Modify Colors: You can change the main foreground and
background colors as well as message foreground and
background colors. As you change the numbers, the colors
will take effect immediately showing what the new colors look
like.
Modify Printer Port: You can change the current printer port
with this option. The current printer port is shown near the
top of the screen.
Modify Return Address: This allows you to change the return
address.
Modify Sales Tax: This allows you to change the current sales
tax rate. Only enter in the number (i.e. for 8.25% sales
tax, enter 8.25).
Export/Import: This brings up the Export/Import menu. First,
choose which database you wish to export/import. You can choose
the song, inventory and rolodex databases. After you choose the
desired database, you then choose whether you wish to import from
an ascii file, import from a DJMate file, export to an ascii file
or export to a DJMate file. When exporting, you should use the
DJMate file format whenever possible. Both formats export very
cleanly, however when importing, the DJMate format always will
work while importing ascii files may lose some data (depending on
record length and a few other items). After you choose the
desired option, you will be prompted for a filename. If you are
importing and the filename exists, the file will be imported. If
you choose to export records, you must give a filename that does
not exist. If it exists, an error message will be shown and you
will be prompted for another filename. You will then have to
choose the records that you wish to export. After choosing the
21
records, they will be exported to the file.
Notes: When importing ascii text, they must be in a certain
format. Refer to Appendix A for the record formats.
Compress Databases: This option will compress all of your
databases. Any records that you marked for deletion will be
permanently erased and the files will be compressed and cleaned
up. After selecting this option, you will be asked to confirm
that you wish to compress the databases. Type either Y or N. If
you type Y, then the compression will proceed. This can take
quite a while (depending on how many entries you have in each of
your databases and the speed of your computer). If, after running
this the first time, you see that it takes a very long time, you
may want to have this run overnight. It is suggested that you run
this option once a month to keep your databases as compact as
possible.
Note: the files are backed up with the name [f-name].bak before
they are compressed (i.e. rolodex.dat will be backed up as
rolodex.bak).
Check Reorder at Startup: This allows you to disable the reorder
checking feature at startup. Enter Y to check at startup or enter
N to disable checking.
Set Lead Time Default: This allows you to set a default for lead
time checking (in the estimate and rolodex section).

Appendix A
Record Formats
When importing records, they must be in the below formats otherwise
they will not be imported correctly. The files must be comma
delimited. Each field (even numeric fields) must be enclosed in
quotes. The status field in each format is whether the record is
marked for deletion. If the field is true, then it is not marked for
deletion. If a note beside a field says that it the field must be
numeric, then it must be numeric otherwise it will be 0. Note that
some fields that should be numeric (such as # of copies) don't have to
be numeric; only the fields with the note beside it.
